Job Title – Administrator/Coordinator – (Emirati Nationals only) Jobs in Dubai, United Arab Emirates
Responsibilities:
- Take responsibility of all security officers of the site as ‘overall in-charge’ to effectively manage the site. Support and assist operations team to achieve operations objective and effectively carry out assigned responsibilities as mentioned in the ‘assignment instructions’. Keep operations team updated on customer’s instructions, incidents and any emergencies, paying special attention to customer complaints and feedback
- Accountabilities
- Be vigilant at all times and assume responsibility for the premises under your control acting as ‘overall in-charge’. Responsibilities will include the day to day management of the team, scheduling leave, arrangement of relievers, checking of the turnout and appearance of security officers at the site, check attendance, punctuality and prepare duty roster(weekly basis), carrying out of assigned duties, rotation of duties and relievers for short breaks etc.
- Reporting of any disciplinary notification to the operations team and follow up to ensure appropriate action to be taken.
- Act as liaison between Farnek operations team and the customer’s representative. Ensure complaints are addressed and necessary action taken to resolve problems and Ensure KPIs and contractual requirement met.
- Ensure that the daily routine and functions at the customer’s premises proceed without any interruption.
- Ensure adherence all instruction mentioned in the ‘Assignment Instructions’ post wise
- Ensure safety and security of the customer’s premises at all items and brings any suspicious activities and observations to the customer’s attention.
- Prevent access of unauthorized personnel into the customer’s premises. As per customer’s instructions, question the presence of strangers and unauthorized persons at site
- Supervise the maintenance of logs as per site requirements which may include but not limited to Daily log, Patrolling log, NSI book (PSBD/SIRA licensed guards), visitor and vehicle logs, incident register, movement of material, key issue and return log etc.
- In case of emergency (Fire, theft or any other emergency) take immediate action as per site emergency plan, and notify to customer’s representative, inform to emergency service, Farnek operations team and IMC/ PSBD/SIRA Control room.
- Review or prepare all incidents reports and provide On-job trainings and maintain proper records and forward to Ops coordinator these reports and records.
- Regularly check to ensure maintenance and operation of the fire alarm panel, fire extinguisher, and first aid kits
- Ensure the assigned company property at your site/team – mobile telephone, landline, 2-way radios, detectors, vests, helmet, safety equipment, security systems, vehicles, etc. Is used responsibly for work requirements only and kept well-maintained at all times.
- All security supervisors and officers are expected to show good judgment and common sense, follow directions and instructions from supervisors and follow regulations and guidelines PSBD/SIRA.
- Supervisor personnel should have a professional appearance and attitude and take charge in case of emergencies or other dangerous situations. Seek advice in such situations from the Farnek Operations Team and the customer’s representative or Security Manager
- Ensure that your team has a clean and neat uniform and displays their identity card and PSBD/ SIRA license at all times.
- Ensure good relations are maintained with all members of staff at all levels
Educational requirements:
- Relevant HSE Qualifications
Experience requirements:
- Experience in Maintaining records of all cash/cheque/credit card receivables and ensuring proper control and coordinating with the Finance Department for handover.
- Ability to work in a team
- Management experience in a similar role for more people
Desired Skills:
- Preparing Monthly Reports for the Division Manager which includes monthly statistics of absenteeism, sick leaves, etc.
