  • Education: University degree.
  • Professional experience: 5-10 years professional experience as assistant, preferably in oil and gas industry, or other similar industry.
  • Technical competencies: Proficiency with Word, Excel, PowerPoint, Teams, SAP.
  • Behavioural competencies: Excellent coordination and communication skills, Proven ability to work independently and meet deadlines, Project
  • Management skills, keen to detail and accuracy, Ability to work in multi-cultural environment, Adaptability.
  • Languages competencies: English proficiency (written and oral).
  • Duration : 12 months

HSEQ & Security, GSR and TRCQ COORDINATOR (HSE) – Job Requirement

HSEQ & Security, GSR and TRCQ Coordinator will be in charge of the following tasks:

Planning / Meetings organization:

  • Maintain agenda for the Vice Presidents and Managers
  • Perform full administrative support duties for the Geosciences/HSE & TRCQ divisions.
  • Organizes meetings and Visio conference, books meeting room and ensures availability of needed equipment.

Mission organization / Visitors:

  • Prepares Mission orders, request tickets, book hotels and prepares expense reports.
  • Organize mission logistics for GSR, TRCQ & HSE visitors to Doha.
  • First point of contact for visitors, controls movement of incoming and outgoing visitors.
  • Ensures visa, transportation & accommodation for abroad visitors are organized together with HR and General services
  • Prepares visit program, organize the required passes and necessary documentation for offshore visits,etc.

Mobilization process / POB Management:

  • First point of contact for new comers, ensures all mobilization process & requests are in place.
  • Liaise with HR to get the list of new comers to organize the HSE induction for new comers.
  • Maintain POB application up to date in close coordination with HR and other entities (mobilization, demobilization process, visitors)
  • Contributes & maintain an up-to-date POB report and manhours in Synergi

Training / Medical / Documentation arrangement:

  • Support offshore personnel to arrange necessary documentation
  • Books HSE trainings as per requirements
  • Supports to book medical appointments for occupational health examination
  • In charge of keeping up to date HSE training requirements for the entity and make the appropriate HSE training bookings.

Emergency organization support:

  • Maintains the affiliate emergency organization planning schedule with a 3-month look-ahead
  • In charge and maintain log on weekly basis of all duty officers in case of emergency.

Events organization:

  • Organizes all external gatherings, team buildings & training events for GSR, TRCQ & HSE divisions (business lunches, dinners & training events).
  • Organize events with external parties (e.g. HSE Contractor Forum), booking of facilities, sending of invitations, managing logistics.
  • Correspondence with external parties:
  • Prepare letters for external parties organize and check dispatch to relevant persons.
  • Focal point for SAP and link with Cost Control for GSR, HSEQ, TRCQ: Create PR, PO, Call-Off and follow up with requester.
  • Manage quotations with suppliers for buying of items, gifts, various supplies.
