Job Objective:
- Executive Assistant of Digital Identity Business, providing assistance for documentation, assignments, reporting, legal work and KPI management.
Responsibilities
- Provide support to the Director/GM with general administrative tasks.
- Organizing and maintaining diaries and making appointments.
- Arranging travel and accommodation for the GM and team.
- Attending phone calls if needed.
- Management of correspondence and dealing with incoming emails faxes and post.
- Producing documents, reports and presentations.
- liaising with internal legal team and other stakeholders to organize and process signature of contracts and other legal documents.
- Keep record of legal documents and templates needed for bids and projects.
- Draft, distribute and follow-up minutes of meetings and action plans.
- Work closely with the Senior Management.
- Liaising with different departments (finance, legal, HR, Marketing & Sales).
- Coordinating the information flow around the company by relaying different information between countries of the region and the divisions of Thales.
