Job – Office Assistant

Job Description :

1 GROUP RENTAL ADMINISTRATION SUPPORT

· Support the Head of GRP in doing the day to day routines of the Camp to ensure that its services are effectively provided to the tenants on time.

· Guide all newly arrived employees in the accommodations to their respective rooms and turnover the given items / consumables.

· Receive requests and complaint, in absence of the Head of GRP; resolving basic requests while escalating to the Supervisor for requests / complaints with financial impact.

· Coordinate the maintenance of camp appliances and furniture to ensure its repair within an allocated time frame.

· Support in the inspections of the rooms, to ensure that infractions are documented.

· Check Camp’s common rooms to see whether they are maintained and appliance / furniture are in good condition.

2 GROUP RENTAL CONSUMABLES CONTROL

· Carry out the receipt, release and storage of the Camp’s items, consumables and furniture from the supply room(s) in order to ensure proper control of said inventory.

· Issue Camp items, consumables and furniture to the Employees, upon receipt of the official request from the respective managers.

· Ensure that the Supply Room(s) are locked and secured at all times.

· Monitor deliveries of consumables from Suppliers in order to ensure that the right quantity and specs are delivered; Escalate to the Head of GRP on any issues found.

· Check the quantity of consumable items in the supply room in order to timely inform the Head of GRP on items that are below the minimum level of stock.

· Support the Camp Boss in the official inventory of items to ensure the activity is completed on time.

3 DOCUMENTATION / FILING

· Handle the general filing system to ensure the timely availability of records as and when required.

· File all received documents and reports in the proper files; Create new folders / files as and when necessary.

· Provide copies of a certain document, as and when required.

· Ensure the proper maintenance and disposal of the files as per the Division’s practices / procedures.

· Handle the Camp’s room keys, ensuring that all of the keys are properly placed in the key case / drawer.

4 AD HOC ACTIVITIES

· Carry out Ad Hoc Activities, as and when requested by Management, in order to deliver targets and deliverables.

· Carry out other tasks and instructions, as and when assigned by the Line Manager.

· Prepare basic reports about the Camps, as and when required.

· Serve as vacation replacement for certain tasks and activities to ensure the continuity of operations.

Job Qualifications:

PERSON SPECIFICATION : (What are the qualifications the job holder must have in order to be effective when delivering the requirements of the job)

EDUCATION :

(Including Certifications and Trainings if required)

· Secondary or High School Degree

EXPERIENCE :

· Minimum 6 months relevant work experience.

COMPETENCIES: (Knowledge, specific job skills, computer literacy, language, communication skills, behavioral attributes and other required qualifications)

· Basic Communication Skills in English.

· Knowledge in Microsoft Office Applications is an advantage but not required.

· Good attention to details.

· Ability to work quickly and methodically.

· Willingness to work flexibly.

· Hardworking, honest and responsible.

· Team Player.

· Physically Fit.
