Job Description

Role Purpose:

  • Establish and ensure Governance for P & L across ADIB UAE, International Branches and Subsidiaries at Department level, Group Level and Management level. Be the subject matter expert of bank P & P standards and provide steer to whole ADIB Group on all P & P related issues.
  • Build a knowledgeable team who have significant experience in examining and writing P &P both in English and Arabic. All team members must have specialist knowledge in banking and at least a couple of them must have experience specifically in Islamic banking.
  • Establish GPPD strategy and framework, ensure its awareness and compliance within the group Internally Benchmark and standardize the quality of P & P ‘s across the various departments of the bank and its subsidiaries.
  • Improve existing P & P’s by removing silos, refresh them on an end-to-end basis and consolidate them where applicable, including cross departmental consolidation. Work with the respective process owners to assist them in developing new or revisions to existing P & P when new bank products or services are offered, new line of business is initiated or new regulatory requirements are published
  • Work with the current team to further digitization of the P & P repository and build a robust workflow. The current team who manages the repository will also be transferred to this department by H 2 2023 ( once the incumbent joins and fulfils the four objectives listed above)
  • Responsible for overseeing the ADIB group’s strategic initiative of standardization, safekeeping and digitalization of all Policy and Procedures (P & P) documents of ADIB group and subsidiaries
  • Responsible for the administration of P & P, lead the Unit and supervise the support team to ensure efficient disposal of the assigned task
  • Evaluate the effectiveness of the P & P documents and work closely with the respective process Facilitate any process review workshops between the process owners and relevant stakeholders to evaluate the process in terms of business requirements, Policy, Product Program, Operational Risk, Sharia, Legal & regulatory requirements & further consolidates the feedback to update the process
  • Working along with the document owners to ensure they include all required elements in the process document, also provide them with necessary guidance on how P & P are to be structured and written in compliance with the bank’s guidelines including applicable regulatory requirements
  • Reconfigure the existing document in approved standard format & ensure P & P are submitted to delegated authorities for their approval on annual, scheduled basis
  • Strategically relook at and simplify/ improve the existing approval process for full review and annual reviews after taking feedback from all stakeholders.
  • Working closely with the IT team & vendor to deploy single repository solution for the safe custody of the documents & develop effective MIS dashboards ( H 2 2023 onwards)
  • Regularly meeting with process owners and stakeholders to ensure efficient settlement of their queries and acts as a focal point of contact for any P & P related issues and concerns
  • Efficiently plan the annual reviews with process owners for timely circulation, review and publishing
  • Assist process owner in reviewing risks associated with the process & ensuring adequacy of controls and co-ordinate as required between process owners and supporting control functions.
  • Periodic MIS reporting on the status of the P & P to various stakeholders and governance committees of the bank with insights and recommendations for improvements

Key Accountabilities of the role     

Policy & Framework

  1. Working in collaboration with all departments, develop and maintain close links and co-operation with key stakeholders on P & P matters
  2. Participate on cross-departmental projects relevant to P & P and provide regular updates
  3. To oversee the production of briefings, reports, consultation documents, process notes and other documents as required
  4. Addressing & resolving issues and concerns in documents through effective coordination between all ADIB units in fair and equitable manner
  5. Assist in enhancing the quality of documents prepared
  6. To motivate & provide support & leadership to the Team

Analysis & Reporting

  1. Design and develop effective MIS and proactively monitor it throughout the process-cycle to support performance
  2. Analyze and share the MIS on P & P progress to the senior Management on regular basis

Training & Awareness

  1. Provide training, orientation and guidance across the Organization to facilitate culture and mindset change
  2. Regularly coordinate & provide guidance to relevant units and teams across ADIB to build and enhance understanding on P&P activities relevant to functions / roles / responsibilities which each individual holds

General Management

  1. Lead the formation & smooth performance of P & P dept.
  2. Maintain healthy Relationship with all ADIB Unit to facilitate sign offs
  3. To perform the duties expected as a member of the Executive Management Team

Specialist Skills / Technical Knowledge Required for this role:
  1. 18-20 years of banking experience, preferably in UAE/ GCC / International Markets with in-depth knowledge of Banks products and Services, policy, processes, environments, and related roles with demonstrated knowledge of leading, supporting, developing, and managing a team
  2. Excellent knowledge of managing and building relationships with stakeholders, including senior management, and with strong influencing and negotiation skills
  3. Knowledge and capability of leading a team which has both examined and written P & P’s for the entire bank ( preferable) or for a couple of major departments within a bank ( essential)
  4. Excellent oral and written communication skills with ability to engage different audiences, convey complex information in an accessible way, prepare & give presentations to different audiences
  5. Ability to manage multiple projects, including managing departmental workload in line with the strategy, making strategic decisions, overseeing the successful management of working groups, and proven project management skills
  6. Exceptional determination, self-motivation and interpersonal skills with a high level of diplomacy & political awareness, and ability to work effectively as a member of the Senior Management Team
  7. Sound working knowledge of window-based software packages, including word processing, spreadsheets, databases, electronic mail, as well as repository and workflow systems.
  8. Must be bi-lingual – Read, Write and Speak English and Arabic
